Streamlining The Process At Work 🎶Music by Ivan Ohanezov from Pixabay Online Six Sigma Black Belt Certification Course https://tinyurl.com/4n67rsc9 Kaizen certification Course https://tinyurl.com/3rzywfar Lean Management Certification Course https://tinyurl.com/ydw6spzh it's 2025 about to go into 2026 and from the look of things on social media the workforce is still ass backwards when it comes to work efficiencies or how to enhance work efficiency at the workplace. some management still think a long drawn out process makes the task more sophisticated or add depth to the situation, or better yet since they get paid a lot of money make their job a living hell with procedures and unnecessary processes to get something done. Streamlining the process at work helps productivity and saves a company or business tons of money, lets explore. One of the problems I see at work is everyone toes the line of where their job description starts and where it ends. meaning there is no meshing 2 or 3 job functions together to get things done. People use to go on vacation and a bulk of their work doesn't get done until they get back, that in turn means lost in productivity in other departments as well. You mean to tell me there is no one in between these 2 lines that can run with the ball until someone get back? we all know about AI automation at the workplace, but I'm talking about human beings streamlining the process at work, how to kaizen the process at the workplace. whatever the company the business the department is it can be streamlined. so what do I mean by streamlining the processes or procedures at work? One of the biggest money waste is onboarding, because it consist of several people ( It could get to 5-6 people getting together to onboard) someone. They're automated processes for new hires to get access and resources quickly. I also understand the still standing 30-90 days before you can get full access of anything, but really think isn't there some access a new employee needs in order to be productive right away? You can do this through departments first when it comes to breaking down workflows or job functions to identify and remove unnecessary steps. I know you hear your co worker saying why are we doing it this way, and someone else chimes in they've been doing it for years now, even when the process or procedure no longer serve it purpose. how about this one lets fax or scan over a paper purchase order to a vendor! Lets start setting up standardized templates that can be used for ordering, submitting expenses, PTO or hiring. Another folly is an email set up, If an invoice has to go through 2-3 co workers before process, why not set up a group email chat for those individuals so they can volley ball back and forth if they have any questions, instead of 2-3 co workers sending out single emails to one another. I still here this to this day, I've called and left a message, I've called and left a message, you need an answer to move forward and you may be calling an office line and he is not in the office for the next 2 days or better yet not listening to his messages. Depending the profession some people don't like talking on the phone. Get this person email address his cell phone where you can send them a text. It's easier and quicker for both parties to communicate back and forth wherever they're at for a quicker turnaround. Allow me quickly touch on streamlining the office, department, warehouse workspace. A simple thing as a copier machine can cost employees hours a week just by hiking over to the mail room or the community copier on the sales floor. Simple copier can be purchased for certain department that has a need for constant printing. which that in it's self should be electronically filed /PDF away but that's for another video. This really benefits smaller businesses or companies that has a handful of departments that can easily get rearrange to simplify the workspace. If possible line up /set up your departments that feed off of one another on a daily bases so a simple meeting or dropping off some files doesn't turn into a 30 minute hike. When you're ready meaning management and or senior management is ready for this transformation, the most important thing is to Get Employee Buy-In, Solicit feedback from those doing the work, as they know where the real problems lie. This allows your employees to chime in with other department as to what's working and what's not. you will be surprise to find out some functions of your co workers position isn't relevant any more and no need to do it anymore, which hopefully free up time for more important things in that department. Companies have to break away from making a task or processes drawn out for it to deem valid, it is all about simplicity going forward
