What's going on guys this is Mark Williams and welcome to my channel online certification courses. This is a channel where you can learn a new skill set of brush up on a old one. This course is to do tips and many techniques to assist in appropriate handling of employees concerns and complaints. Some concerns may be serious than others, but in this course you will learn and understand how to make employees feel more at ease voicing their concerns.

You'll also learn how best to react and respond to any type of concern or complaint that might arise in a workplace. It's 2021 and a lot of things has changed in the workforce. Due to this recent issue we are having outside in the shift in the workforce and how we handle things there regarding work-life balance, concerns and much more from your team and how as a manager you should be handling them. If you are in a position of authority there is no way to avoid this but you will receive complaints or concerns from the employees that work on to you.

Now the complaints will range from something very minor and nature to something very serious is up to a supervisor or manager to figure out if they complains as legitimate and how to respond to it. Also please keep in mind if you don't have an HR department then you have to handle the situation very carefully. It's not that easy though. This handling and employees complain or concerns can have future and dire consequences.

As a supervisor or upper management there are a few steps you must take to protect yourself, the employees making a complaint and those affected by the complaint if it's about another person. There are many different types of complaints such as being overwork, job duties, office clenzyness, harassment and my favorite micro managing. Upon receiving an employees complain to concern is the start of the process and can be the most critical one. As a complaint or concern you receive will dictate how you react.

Do the following when receiving an employees complaint or concern? Ask a lot of questions. Ask a lot of questions about the incident. Always remember who, what, when, where, why and how.

You could also paraphrase the complaint and ask if your interpretation is correct to ensure you fully understand. You can also ask for something in writing. This is a very critical piece of the complaint concern process. At the conversation we press that the person submit something in an email, how line the facts of the complaint or concern, then if something arise due to that you will have the written documentation as proof about what was said.

Advise the person to keep the complaint or concern to themselves. Employees might love the gossip and in turn they will certainly be hoping for workplace allies. But when it comes to a formal complaint or concern you must advise them they must keep it to themselves. And turn as a supervisor you need to keep the complaint to yourself as well unless the matter needs a second opinion or another way to look at the issue but that will be from your higher ups.

Ensure action. Let your employee know that you will follow through. Don't make any further comments like what you plan to do or when will you do it. Distinct the employees for the information and tell them you will look into the matter.

Most importantly don't delay your response to any concerns or complaints. Time is of the essence of unhandling an employee's complaint or concern. If not handled right away the issue may grow bigger and something very serious will erupt and having you hold in the bag since it was your responsibility to resolve the matter. Also the longer you take to address it the easier it will be for people to forget details for another mishap to happen resulting in another complaint and so forth.

I have seen things go from bad to worse because supervisors did not address any complaints or concerns right away. Here a little quick rundown as to what not to do when an employee complains or voices their concerns. Make jokes. Don't make jokes when employees are anyone else about the situation.

Don't make light of something someone else is finding trouble with it. Getting distracted. While they talk to you turn off your phone, close your office door. Don't show disrespect.

Don't belittle their complaints, question their actions, veracity or do anything to make them feel like you don't take their issue seriously. Don't make their concerns public. Refrain from speaking of the complaint to any other employees. Punishment.

Refrain from talking too quick regarding disciplinary actions against the complaining employee or the person they are complaining about. Take the time to find out what happens before you take any action. Also, don't take sides. Try to remain neutral and professional but friendly even after investigating the concerns thoroughly.
