Project Management Course - Beginner to Project Manager Excel Project Budgeting: Cost Tracking, Actuals & Variance Control In this final step of budgeting, we complete the cost control process by calculating the total project budget using a simple multiplication of unit price and quantity, followed by a SUM function to get the overall cost. This gives us a clear picture of the planned engineering services budget. To move from planning to execution, we add an “Actual Cost” column to track real expenses as they occur. This allows us to continuously compare planned versus actual spending. Finally, we introduce a variance column (Budget – Actual) to quickly identify over- or under-spending. With conditional formatting, negative values are highlighted in red, making budget overruns immediately visible and easier to investigate. With this setup, project managers can effectively monitor costs, control spending, and ensure the project stays financially on track throughout execution.
